How To Create Shifts
Step 1.
Navigate to this panel and go to the menu on the left side of your screen, then select the “Scheduling” option.
Step 2.
Once in the “Scheduling” the first thing to do is select the account where the shift will be created. To do this, locate the “Select Account” dropdown button in the top left of the “Scheduling” view, then press it and select the account where you want to create the shift.
Step 3.
With the selected account now, it is possible to create the shift. To do this, navigate to the top right corner of the view and press the “Create Open Shift” button.
Step 4.
After clicking the “Create Open Shift” button, a form will be displayed in the middle of the screen containing all the fields necessary to create the shift.
The following are the fields that the form has to create the shift; please note that the ones marked with a red asterisk (*) are required fields.
- Shift Name: The name of the shift, e.g., Morning Shift
- Date: The start date and end date of the shift. It is possible to leave the end date empty if the shift is intended to be forever or until you edit or delete it.
Note: The date is entered from the calendar that is displayed, at the bottom of this field.
- Time: The period of time assigned for the shift to work.
- Shift Days: The days of the week for the shift to work.
- Time Zone: The local time zone.
- Filter personnel by skills: If there are personnel skills added to their mobile user through the people section, this will show those skills and filter the personnel that have those skills in common.
- Filter personnel by certification: If there are personnel with certifications added to their mobile user through the people section, this will show those skills and filter the personnel that have those certifications in common.
- Personnel(s): The list of persons registered through the mobile app.
- Scans: The list of scans that will be part of the shift.
- Forms: The list of forms that will be part of the shift.
- Tasks: The list of tasks that will be part of the shift.
- Create a no-activity report for this shift.
A checkbox that, if enabled, will send a no activity exception report to the email address in the next field called “Report to”, if the checkbox is unmarked, the “Report to” field will disappear.
Step 5.
After filling out the form with at least the mandatory field market with the asterisk (*), you will now press the “Save and publish” button to finally create the shift.
The shift will be shown in the calendar, and if you click on whatever date has a little person icon, the shift for that date will be displayed in a grey bar.
Please note that you can edit the shift by clicking the “pen” icon. You can also delete the shift by pressing the “X” icon.
It is possible to create a copy of the shift by pressing the “square” button to the right of the shift; the form will be displayed with the same information to be edited; it can be changed as needed; and then pressing the “Save and publish" button to create the new shift.
Step 6.
Now, with the created shift, you can use the left panel that has the list of personnel in the account, where you can select each of them to filter their assigned shift to show in the calendar.
To select all, you must click on the "Select all" checkbox.
